How to Separate Names in Excel

In this tutorial, we’ll learn how to separate names in Excel. This is useful when you have full names in one cell and you need to split them into first and last names. We’ll be using the ‘Text to Columns’ function, which makes the process quick and easy.

How to Separate Names in Excel

  • Select the Data to Separate
    • The first step is to select the data you want to separate. This could be a single cell or a range of cells containing names. Make sure you select the entire range of cells that you want to separate.
  • Access the ‘Text to Columns’ Function
    • Once you have selected the data, go to the ‘Data‘ tab in the Excel ribbon. Under the ‘Data Tools‘ group, you will see the ‘Text to Columns‘ function. Click on it to open the ‘Text to Columns Wizard‘ window.
  • Choose the Delimited Option
    • In the ‘Text to Columns Wizard’ window, you will be presented with two options: ‘Delimited‘ and ‘Fixed Width‘. Choose the ‘Delimited‘ option and click ‘Next‘.
  • Select the Delimiters
    • In the next window, you need to select the delimiters that separate the names in the cell. If the names are separated by spaces and commas, tick the boxes for both options. You can also choose other delimiters, such as semicolons or hyphens, if your names are separated differently.
  • Treat Consecutive Delimiters as One
    • If you have multiple spaces or commas between names, you can tick the ‘Treat consecutive delimiters as one’ box. This will ensure that Excel treats them as a single delimiter, rather than multiple ones.
  • Format the Final Look
    • In the next window, you can format the final look of the separated names. For example, you can choose to separate the names into two columns or three columns. You can also specify the data format for each column, such as ‘General‘ or ‘Text‘.
  • Set the Destination
    • Finally, you need to specify where you want the separated names to appear. You can select a cell or range of cells where the data will be inserted. In our example, we will set the destination to cell C3.
  • Click ‘Finish’
    • Once you have set the destination, click ‘Finish‘ to complete the process. Excel will automatically separate the names into the specified columns, based on the delimiters you have chosen.
