Working out attendance by hand is a chore
Counting ticks and crosses
Adding up present and absent days for every person, every month, takes ages and is easy to get wrong.
Excused or not?
Sick days, half days and excused absences all count differently, and a simple list can’t tell them apart.
Spotting who needs a chat
By the time you notice someone’s attendance has dropped, it’s been weeks.
Pick a code. The percentages follow.
Set up once
Add your names, choose your target (like 90%), and check the codes: Present, Late, Half day, Absent, Sick and Excused.
Take the register
Pick a code for each person and day. Weekends are shaded, and each code has its own colour.
Check who’s below target
Attendance % updates as you go, and the summary and dashboard show who needs attention.
Half days, sick days and excused absences
Each code counts the way you choose: a half day as 0.5, late as present, and excused days left out completely so they don’t count against anyone. Rename the codes or add your own.
- 8 codes you can set up
- Choose what counts as present
- Leave excused days out of the %
| Code | Meaning | Counts as present | Counts towards %? |
|---|---|---|---|
| P | Present | 1 | Yes |
| L | Late | 1 | Yes |
| H | Half day | 0.5 | Yes |
| A | Absent | 0 | Yes |
| S | Sick | 0 | Yes |
| E | Excused | 0 | No |
Every month, every person, one page
The summary shows each person’s attendance for every month and for the year. Red means below your target, amber means within 5% of it, and green means on track.
- Monthly and yearly % for everyone
- Total absences and lates
- Colours based on your own target
| Name | Sep | Oct | Nov | Year | Absent |
|---|---|---|---|---|---|
| Ava Johnson | 98% | 95% | 97% | 1 | |
| Noah Davis | 95% | 77% | 86% | 6 | |
| Sophia Moore | 98% | 86% | 92% | 3 | |
| Ethan Jackson | 91% | 76% | 84% | 7 | |
| Mason Taylor | 100% | 93% | 97% | 1 |
See who needs attention
The dashboard shows attendance for the year and this month, how many people are below target, total absences, the 10 lowest attendance figures and a month-by-month chart.
- Lowest attendance list
- Month-by-month chart against your target
- Updates as you fill in the register
| Name | Group | Attendance | Absent |
|---|---|---|---|
| Ethan Jackson | Group B | 84% | 7 |
| Noah Davis | Group B | 86% | 6 |

Hi, I’m Lee
I run Sheet Leveller on YouTube, where I make quick, no-nonsense Excel tutorials.
This tracker is built on the COUNTIF and colour-coding formulas from my tutorials, turned into a register you can use all year.
Questions
Can I use it for a school year?
Yes. Set the first month to September (or any month) and the 12 month tabs follow on from there.
Can I change the codes?
Yes. Rename them, change how much each counts, or add up to 8 codes on the Settings tab.
How many people can I track?
Up to 40, split into groups if you like, such as two classes or two teams.
Is it only for schools?
No. It works for staff, clubs, volunteers or anything else where you need to know who turned up.
Does it use macros?
No. It’s a normal .xlsx file, so there are no security warnings and nothing to enable.
Which versions of Excel does it work with?
Microsoft 365, Excel 2010 or later on Windows, and Excel for Mac. It’s built for Microsoft Excel.
Is this a subscription?
No. You pay once and the file is yours to keep.
Less counting. More knowing.
