Plan any project on a timeline that draws itself.
List your tasks and how long they take. The Gantt chart draws the bars, moves every task when the one before it slips, and marks today with a red line. No macros.

Project plans go out of date the moment something slips
Colouring cells by hand
Most Excel Gantt charts are coloured in by hand. Change one date and you’re recolouring the lot.
One delay, ten changes
When one task runs late, every task after it needs new dates.
“Where are we?”
Hard to see what’s done, what’s late and who’s doing what at a glance.
Type the tasks. The chart does the rest.
List your tasks
Phases, tasks and milestones, with an owner and how many working days each takes.
Link them up
Give the first task a start date. For the rest, type which task they follow. Dates are worked out for you.
Track progress
Type % done as you go. Bars fill in, late tasks turn red, and the dashboard keeps score.
Change one date, and everything after it moves
Type the # of the task each one follows in After #. WORKDAY works out the start and end, skipping weekends and holidays. If a task runs a day late, every task after it moves too.
- Working days, weekends skipped
- Holidays you can edit
- Milestones at 0 days
| # | Task | After # | Days | Start | End |
|---|---|---|---|---|---|
| 2 | Kick-off meeting | 1 | Mon 7 Sep | Mon 7 Sep | |
| 3 | Gather requirements | 2 | 4 | Tue 8 Sep | Fri 11 Sep |
| 4 | Sitemap & content plan | 3 | 3 | Mon 14 Sep | Wed 16 Sep |
| 5 | Plan signed off | 4 | 0 | Thu 17 Sep | Thu 17 Sep |
| 7 | Wireframes | 5 | 5 | Fri 18 Sep | Thu 24 Sep |
See where the project stands
Overall progress, tasks done, what’s overdue, the finish date and working days to go. Plus what’s coming up next, sorted by end date, and each person’s workload.
- Coming up and overdue list
- Workload by owner
- Tasks by status chart

Phases that sum themselves up
Add a Phase row above a group of tasks. Its start, end and progress are worked out from the tasks below it, and it draws as a dark bar on the chart.
- Phase start, end and progress
- Status for every phase
- 13-week timeline you can scroll

Hi, I’m Lee
I run Sheet Leveller on YouTube, where I make quick, no-nonsense Excel tutorials.
This planner is built on the WORKDAY and conditional formatting tricks from my tutorials, so the chart draws itself.
Questions
Do I need Microsoft Project?
No. It’s a normal Excel file with no macros, so it works in Excel for Windows and Mac.
Can a task follow more than one task?
Each task follows one task. Pick the one that finishes last.
Can I change the working week?
It uses Monday to Friday. Add your own days off, like company holidays, on the Settings tab.
How long a project can it show?
The chart shows 13 weeks at a time. Type a new date in Timeline starts to scroll through a longer project.
Does it use macros?
No. It’s a normal .xlsx file, so there are no security warnings and nothing to enable.
Which versions of Excel does it work with?
Microsoft 365, Excel 2010 or later on Windows, and Excel for Mac. It’s built for Microsoft Excel.
Is this a subscription?
No. You pay once and the file is yours to keep.
