Working out your pay is harder than it should be

🌙

Night shifts break the maths

Take 22:00 away from 06:00 and a normal formula gives you -16 hours. This calculator gets it right: 8 hours.

⏱️

Overtime is confusing

Does it start after 8 hours in a day, or 40 in a week? At time and a half, or double? Keeping track by hand is where mistakes happen.

🧾

Paychecks are hard to check

Two missing hours of overtime a month at time and a half is over $450 a year on $12.50 an hour. Most people never notice.

How it works

Three steps. No formulas to write.

  1. Add your pay details

Enter your hourly rate once, and choose how your overtime works: none, daily or weekly, at any rate.

  2. Enter your shifts

Date, start time, finish time and any unpaid break. Night shifts that finish after midnight are handled for you.

  3. See what you’re owed

Your hours, overtime and pay add up automatically by week, by month and by pay period. Then check your paycheck.

Paycheck checker

Spot underpayments in seconds

Pick how often you’re paid (weekly, biweekly, semi-monthly, every 4 weeks or monthly) and the date the pay period starts. The calculator shows what your gross pay should be. Type in the figure from your pay stub and it tells you straight away if something’s missing.

  • Regular pay and overtime pay shown separately
  • Works with any pay period your employer uses
  • Clear result: matches, more than expected, or less

Night shifts & breaks

Night shifts that just work

Start at 22:00, finish at 06:30, take a 30-minute unpaid break, and it counts 8 hours. No formulas to fix, no minus numbers, no adding 24 by hand.

  • Shifts past midnight are handled and clearly marked
  • Unpaid breaks taken off automatically
  • Hours shown as 8:15 and 8.25, whichever your employer uses

Overtime and totals, worked out for you

Set your overtime rule once: after 40 hours a week (the standard US rule), after 8 hours a day, or none. Choose time and a half, double time or any rate. Every shift’s overtime is calculated and highlighted, and your weekly and monthly totals update as you type.

Lee from Sheet Leveller

Hi, I’m Lee

I’ve been using Excel since school, and I run Sheet Leveller on YouTube, where I make quick, no-nonsense Excel tutorials. My video on calculating pay hours in Excel has been watched more than 779,000 times.

This calculator takes everything from those videos (time maths, night shifts, overtime) and puts it into one ready-made spreadsheet, so you don’t have to build it yourself.

Questions

Which versions of Excel does it work with?

Microsoft 365, Excel 2010 or later on Windows, and Excel for Mac. It’s built for Microsoft Excel.

Do I need to be good at Excel?

No. You only type in the yellow cells: dates, times and breaks. Everything else is worked out for you, and there’s a Start Here guide inside.

My shift finishes after midnight. Which date do I use?

The date the shift started. The calculator knows a 22:00 to 06:00 shift is 8 hours.

Does it work out taxes?

No. It shows your gross pay: what you should earn before taxes and other deductions. That’s the figure to check on your pay stub.

Can I use it for more than one person or job?

Yes. Save a separate copy of the file for each employee or each job.

What if my hourly rate changes?

Changing the rate in Settings updates every shift in the file. When you get a pay rise, start a fresh copy from that date so your older shifts keep the old rate.

Is this a subscription?

No. You pay once and the file is yours to keep.

How do I get it after paying?

You can download it straight away after checkout, and a download link is emailed to you too.

Stop guessing. Know what you’re owed.

Every shift, every overtime hour, every paycheck, checked in one simple spreadsheet.
